Here you will find information on how you can use Zoom in public defenses.

General information on PhDs

The public defense will still follow normal procedures as closely as possible. A digital defense will also be open to the public, and the audience will be able to pose questions to the candidate.

As the Defending Candidate

  • The Zoom session should start roughly 15-30 minutes before the defense. This is done to ensure that there are no technical issues before the defense begins. We recommend all participants to connect to the Zoom meeting earlier than the defense begins, regardless of whether or not they are active participants in the defense.
  • We recommend that you use a headset with a microphone. This will reduce background noise and will improve the audio quality.
  • We recommend that you sit in a room alone during the defense to further reduce background noise. The defense will be open to the public, so you should keep in mind that everything in the background will be visible to others as long as your camera is turned on.
  • To limit distractions from other applications or programs on your own PC, it is a good idea to turn off all audio and notifications from other apps, like e-mails and browsers.
  • Turn the sound off on your phone during the defense.

As a Member of the Public Audience

  • Anyone can attend the defense, even if they are not associated with NTNU. All you need to do is install Zoom or run Zoom from your browser.
  • The Zoom session should start roughly 15-30 minutes before the defense. This is done to ensure that there are no technical issues before the defense begins. We recommend all participants to connect to the Zoom meeting earlier than the defense begins, regardless of whether or not they are active participants in the defense.
  • Turn the sound off on your phone during the defense, especially if you are actively participating in the defense.
  • Please do not use the chat function in Zoom during the defense. The only exception is if the public audience has been invited to ask questions.
  • Do not share your screen if you are not an active participant in the discussion.
  • If you have not been invited to speak, you must mute your microphone. The host may also opt to mute your microphone if needed.
  • You will not be able to record the defense, even though there is a record button in Zoom. We ask that you do not take screenshots during the defense unless you have received explicit permission from all participants in the Zoom meeting beforehand.
