When to use video conferencing

You can use video conferencing as a teaching tool, for oral exams, for PhD defences, project meetings, job interviews and consultations. 

Reserve a video conferencing studio

You should reserve a studio for your video conference (list in Norwegian) well in advance of the event you are planning. Some of the studios are just for employees, which is clearly indicated on the list of available studios. The mini studio, the AV studio, Dragvoll Room 4304 and R6 should be reserved using the reservation form for video conferencing (in Norwegian).

Employees can also reserve the video conference room at the Dragvoll Library to use for lectures, job interviews, doctoral defences, etc.

Other equipment

In addition to speaker telephones and video cameras, NTNU offers a range of other equipment that enables all meeting participants to share pictures, data and other information. NTNU has PCs, document cameras, slide projectors, VHS/DVD players, electronic chalk boards, white boards and regular chalk boards. You should specify on the reservation form which equipment you need.

Tips and advice for video meetings

  • Think about whether or not you will need to share documents with meeting participants during the presentation.
  • Make sure to send out applicable documents and the agenda well before the meeting itself.
  • Think inclusively and make sure that your meeting structure is clear and logical.

Checklist for video lectures

  • Check all of the equipment you will need to teach, and make certain that there are enough seats for everyone in the studio where the lecture will be shown.
  • Make sure that someone in each of the studios can use the remote control.

Video conferencing advice

  • Start by introducing all the participants, including latecomers (!)
  • Position yourself and others so that everyone can be seen by the camera. Make certain that everyone's face is lighted.
  • Remember that you can't hand out papers during a video conference.
  • Turn off the microphones of people who do not have the floort.
